At Clubify, we take seriously the privacy of the people who entrust us —and trust us with their children's data— through our platform. This document explains what information we collect, how we use it, with whom we share it, and what rights you have over it.

Clubify (hereinafter, "Clubify", "we", or "the platform") is operated from the Republic of Argentina and is available at www.clubify.com.ar and through its mobile applications for iOS and Android. This policy applies to all users of the website and the mobile apps.

The controller responsible for the processing of personal data is Clubify, with registered domicile in the Republic of Argentina. For any inquiries related to this policy or to exercise your rights, you may contact us at:

2. Information We Collect

2.1. Information you provide

  • Account data: first name, last name, national ID (DNI), date of birth, email address, phone number, password (stored in encrypted form), and profile picture.
  • Club, team, and player data: information about the club, areas, teams, players, parents/guardians, staff (coaches, managers), events, matches, lineups, training sessions, and evaluations.
  • Uploaded content: photos, files, comments, publications, training plans, documents, and stickers/albums.
  • Health and wellness data: wellness records (self-reported physical/emotional state), injuries, medical data relevant to sports practice, and disciplinary incidents. This data is sensitive and receives enhanced protection (see Section 6).
  • Payment data: when subscribing to plans or processing member fees, we use Mercado Pago as the payment gateway. Clubify does not store your credit card or bank account information; that data is processed directly by Mercado Pago.

2.2. Data we collect automatically

  • Usage data: pages visited, actions performed, app events, and session times (via first-party cookies and analytics tools).
  • Technical data: IP address, browser type, operating system, language, device identifiers, and error logs.
  • Push notifications: device tokens (Firebase Cloud Messaging for Android and Web Push, Apple Push Notification Service for iOS) used to deliver notifications.
  • Location: only if you use features that require geolocation (for example, locating an event on the map). We do not track your location in the background.

2.3. Data provided by third parties

If you sign in with Google, Facebook, or Twitter, we receive from those providers your name, email, and public profile picture, according to the permissions you authorize.

3. How We Use Your Information

We use the data to:

  • Create and maintain your account, authenticate you, and protect your session.
  • Operate platform features: management of teams, events, attendance, training sessions, evaluations, communications, payments, and members.
  • Process plan and dues payments through Mercado Pago.
  • Generate AI-assisted training plans when you explicitly request them (see Section 5).
  • Send notifications (push, email) about events, reminders, incidents, and product updates.
  • Detect, prevent, and respond to fraud, abuse, or misuse.
  • Analyze platform usage to improve features and performance.
  • Comply with legal obligations and respond to requests from competent authorities.

4. Who We Share Your Information With

Clubify does not sell your personal information. We share data only with the providers strictly necessary to operate the service, under confidentiality and data processing agreements:

Some providers process data on servers outside the Republic of Argentina. In those cases, we ensure they offer adequate levels of protection in compliance with Argentine Law 25.326 and, where applicable, the European GDPR.

5. Artificial Intelligence

When you use the AI training plan generation feature, we send Anthropic (provider of the Claude model) only the information strictly necessary to produce the response: team characteristics, training objectives, and available materials. We do not send personally identifiable player data (names, IDs, contacts) to the AI.

Anthropic processes that data according to its own privacy policy and, under its API customer terms, does not use it to train its models.

6. Minors' Data

Clubify processes data of underage players in the context of the sports activity of the club they belong to. This section is important.
  • Minors' data is uploaded by the club, its coaches, or by the parents/legal guardians who have a Clubify account.
  • The club, in its role as a sports organization, is responsible for obtaining consent from parents or guardians to register minors on the platform.
  • Parents or guardians may access their child's profile through their own account linked to the player.
  • Minors cannot create their own account without authorization from their parents or guardians.
  • Health, injury, or disciplinary data of minors receive enhanced protection and are only visible to authorized club staff, the player's parents, and the player themselves (when applicable).
  • If you are a parent or guardian and would like to review, modify, or delete your child's data, write to us at clubify.arg@gmail.com.

7. Mobile Application Permissions

The Clubify apps for iOS and Android may request the following system permissions:

  • Notifications: to send you event reminders, confirmations, incidents, and messages.
  • Camera: to take profile pictures and photos of events, matches, or stickers.
  • Photos / Gallery: to select images from your device.
  • Location: only on demand, when creating an event with a location or viewing a map.

You can revoke any of these permissions at any time from your operating system's settings.

8. Cookies and Similar Technologies

We use first-party cookies to keep your session signed in and remember preferences. We use third-party cookies (Google Tag Manager, Analytics) for anonymous analytics of site usage. You may disable cookies in your browser settings, although some features may stop working properly.

9. Data Retention

We retain your information while your account is active or while it is necessary to provide you with the service. If you close your account, we delete your personal data within a maximum of 30 days, except for data we are required to retain by legal obligation (for example, accounting records of payments during the legal limitation period).

10. Your Rights

In accordance with Argentine Law 25.326 on the Protection of Personal Data, the European GDPR, and the California CCPA, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Request the deletion ("right to be forgotten") of your data.
  • Object to the processing of your data for certain purposes.
  • Restrict the processing of your data.
  • Port your data to another service in a structured format.
  • Withdraw consent when processing is based on it.

To exercise any of these rights, write to us at clubify.arg@gmail.com indicating your name, the email associated with your account, and the right you wish to exercise. We will respond within 30 days.

In Argentina, the Agency for Access to Public Information (AAIP) is the supervisory authority. You have the right to file a complaint with that body if you believe the processing of your data violates the regulations.

11. How to Delete Your Account

You may request deletion of your account and your data at any time:

  1. Send an email to clubify.arg@gmail.com from the email associated with your account.
  2. Use the subject: "Account deletion request".
  3. We will verify your identity and proceed within a maximum of 30 days.
  4. We will confirm by email once the deletion has been completed.

Some data may be retained due to legal obligations or to resolve disputes, but it will not be used for any other purpose.

12. Security

We apply reasonable technical and organizational measures to protect your information: encryption in transit (HTTPS/TLS), passwords hashed with bcrypt, role-based access controls, error monitoring, and backups. Even so, no system is 100% secure; in case of any suspected incident, we will notify you as required by applicable law.

13. Changes to This Policy

We may update this policy to reflect legal, operational, or product changes. When changes are significant, we will notify you by email or through a prominent notice on the platform. The "Last updated" date at the top of the document always indicates the version in effect.
